Terms of Service

By accessing or using the EasySchool platform ('the Service'), you agree to be bound by these Terms of Service ('Terms'). These Terms apply to all users of the Service, including school administrators, teachers, staff, parents, and guardians.

If you are accessing the Service on behalf of a school or organisation, you represent that you have the authority to bind that organisation to these Terms.

If you do not agree to these Terms, you must not access or use the Service. Horizon Labs Malawi reserves the right to update these Terms at any time. Continued use of the Service after any changes constitutes acceptance of the updated Terms.

EasySchool is a web-based school management platform developed and operated by Horizon Labs Malawi. The Service provides tools for managing secondary school operations including, but not limited to:

• Student admissions, enrollment, and records management.

• Examination scheduling, grading, and report generation.

• Class management, timetabling, and academic tracking.

• Staff management including attendance, leave, and payroll.

• Student fee collection via bank integration.

• Parent and staff communication via the Parent Portal and WhatsApp integration.

• Assignment management with Google Classroom integration.

Horizon Labs Malawi reserves the right to modify, suspend, or discontinue any part of the Service at any time with reasonable notice to affected schools.

To use EasySchool, a school must register for an account and provide accurate, complete information during the onboarding process.

• The school administrator is responsible for maintaining the confidentiality of all login credentials and for all activity that occurs under the school's account.

• You must notify Horizon Labs Malawi immediately at [email protected] if you suspect any unauthorised access to your account.

• Each school account is isolated — you may not access or attempt to access another school's data.

• You must not share login credentials with unauthorised individuals or allow unauthorised persons to access the platform.

Horizon Labs Malawi is not liable for any loss or damage arising from a school's failure to maintain account security.

Access to EasySchool is provided on a subscription basis. By subscribing, you agree to pay the applicable fees as set out in the pricing plan selected during onboarding.

• Fees are payable per term or per year as selected, in Malawian Kwacha (MWK).

• Subscription fees must be paid in advance before the start of each billing period.

• Failure to pay fees on time may result in suspension or termination of access to the Service.

• Horizon Labs Malawi reserves the right to revise pricing with at least 30 days' written notice prior to the next billing period.

• All fees paid are non-refundable unless otherwise agreed in writing by Horizon Labs Malawi.

• Add-on modules such as the HR Suite are billed in addition to the base subscription at the rates specified in the current pricing schedule.

You agree to use EasySchool only for lawful purposes and in accordance with these Terms. You must not:

• Use the Service in any way that violates applicable laws or regulations in Malawi or any other jurisdiction.

• Upload, transmit, or store any content that is unlawful, harmful, defamatory, obscene, or otherwise objectionable.

• Attempt to gain unauthorised access to the Service, its servers, databases, or any connected systems.

• Reverse engineer, decompile, disassemble, or attempt to derive the source code of the Service.

• Use the Service to send unsolicited communications, spam, or fraudulent messages.

• Interfere with or disrupt the integrity or performance of the Service or its infrastructure.

• Impersonate any person or entity, or misrepresent your affiliation with a school or organisation.

Horizon Labs Malawi reserves the right to suspend or terminate accounts found to be in violation of these acceptable use conditions without prior notice.

All student, staff, and school data entered into EasySchool remains the property of the respective school. Horizon Labs Malawi acts as a data processor on behalf of the school.

• The school is responsible for ensuring that all data entered into the platform is accurate, lawful, and collected with appropriate consent where required.

• The school is responsible for managing user access levels and ensuring that only authorised individuals can access sensitive information.

• Upon termination of the subscription, schools may request an export of their data. Horizon Labs Malawi will provide data in a standard format within 14 business days of a written request.

• Horizon Labs Malawi will not use school data for any purpose other than providing and improving the Service, as described in the EasySchool Privacy Policy.

EasySchool integrates with third-party services to enhance functionality. Your use of these integrations is subject to the terms and policies of those third parties.

• Google Classroom: Integration with Google Classroom is governed by Google's Terms of Service and API policies. Enabling this integration constitutes your acceptance of Google's terms.

• WhatsApp: Notifications sent via WhatsApp are subject to Meta's WhatsApp Business Terms of Service.

• Bank Integration: Fee collection via bank integration is subject to the terms and conditions of the relevant banking partner. Horizon Labs Malawi is not responsible for any fees, delays, or errors attributable to the banking partner.

Horizon Labs Malawi is not responsible for the availability, accuracy, or conduct of any third-party services integrated with EasySchool.

EasySchool, including all software, design, code, content, logos, and documentation, is the intellectual property of Horizon Labs Malawi and is protected by applicable copyright and intellectual property laws.

• You are granted a limited, non-exclusive, non-transferable licence to access and use the Service during your active subscription period.

• This licence does not grant you any right to copy, modify, distribute, sell, sublicense, or create derivative works based on the Service.

• The Horizon Labs Malawi and EasySchool names, logos, and branding may not be used without prior written permission.

All rights not expressly granted in these Terms are reserved by Horizon Labs Malawi.

Horizon Labs Malawi will use reasonable efforts to ensure the Service is available and operational. However, we do not guarantee uninterrupted or error-free access to the Service.

• Scheduled maintenance will be communicated in advance where possible.

• Horizon Labs Malawi is not liable for downtime caused by factors beyond our reasonable control, including internet outages, power failures, natural disasters, or third-party service failures.

• We reserve the right to perform emergency maintenance at any time without prior notice if required to maintain security or system integrity.

To the fullest extent permitted by applicable law, Horizon Labs Malawi shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the Service.

• This includes, but is not limited to, loss of data, loss of revenue, loss of business, or reputational harm.

• In no event shall Horizon Labs Malawi's total liability to you exceed the total subscription fees paid by your school in the 12 months immediately preceding the event giving rise to the claim.

• Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.

Either party may terminate the subscription at the end of a billing period by providing written notice to the other party.

• Horizon Labs Malawi may suspend or terminate your account immediately if you breach these Terms, fail to pay fees, or engage in conduct that may harm the platform or other users.

• Upon termination, your access to the Service will cease. You may request a data export within 30 days of termination, after which Horizon Labs Malawi may delete your data in accordance with the Privacy Policy.

• Termination does not entitle you to a refund of any fees already paid.

These Terms are governed by and construed in accordance with the laws of the Republic of Malawi.

• Any disputes arising out of or in connection with these Terms shall first be attempted to be resolved through good-faith negotiation between the parties.

• If a dispute cannot be resolved through negotiation within 30 days, it shall be referred to mediation or arbitration in Lilongwe, Malawi.

• You agree that the courts of Malawi shall have exclusive jurisdiction over any legal proceedings relating to these Terms.

Horizon Labs Malawi reserves the right to update or modify these Terms at any time.

• We will notify schools of material changes via email or an in-platform notification at least 14 days before the changes take effect.

• The updated Terms will be posted on this page with a revised 'Last Updated' date.

• Continued use of the Service after the effective date of any changes constitutes your acceptance of the new Terms.
